What sellers need to know
- Match every vessel identifier
- Separate buyer copies from sensitive originals
- Write inventory and exclusions
- Keep the complete settlement record
From an offer to a documented handover
A planning sequence, not a legal timetable. The signed agreement and applicable requirements control the transaction.
- 1
Agree the terms
Record the price, inventory, conditions, deadlines and deposit arrangements.
- 2
Check the yacht
Complete the agreed survey, sea trial and document checks.
- 3
Resolve the conditions
Record accepted findings and any agreed changes or remedies.
- 4
Prepare settlement
Confirm payment arrangements, any finance discharge and required paperwork.
- 5
Complete & hand over
Confirm completion under the agreement, then record keys, inventory and handover.
Identity, Ownership and Registration
Start with the seller's legal identity and the vessel's HIN or official number, state registration and AMSA registration where applicable. Names and identifiers should match across records before advertising.
Locate the current jurisdiction's seller and buyer transfer requirements. A registration record assists the process but should not be casually described as conclusive proof of title.
- Seller legal name
- HIN or official number
- State registration certificate
- AMSA documents where applicable
- Trailer registration where included
Maintenance and Condition File
Arrange invoices by system and date: hull, engine, drive, rig, sails, electrical, electronics, plumbing and safety gear. Add survey reports, haul-out photographs and warranty documents.
Create a one-page timeline of major work so the buyer can navigate the underlying evidence.
Inventory, Inclusions and Exclusions
List equipment specifically enough to avoid confusion. Identify tenders, outboards, sails, anchors, electronics, tools, spares and personal items. Mark exclusions before the offer, not at handover.
Record serial numbers for high-value removable equipment where practical.
Contract and Settlement Record
Keep the signed agreement, amendments, deposit record, condition outcomes, PPSR certificate, lender payout and discharge evidence, settlement statement, transfer forms and handover receipt together.
Redact bank and personal information in the buyer pack and share sensitive material only through an appropriate channel.
Yacht Sale Documents Checklist Australia FAQs
What paperwork do I need to sell a yacht in Australia?
Common documents include identity and ownership evidence, vessel and trailer registration, maintenance records, inventory, contract, PPSR and finance records, transfer forms and a handover record. Requirements vary by transaction and jurisdiction.
Should buyers see old surveys?
Relevant reports can improve transparency, but they describe condition at a past date. Provide the complete report where appropriate and do not present it as a current survey.
Can I email my full document file?
Create a redacted buyer version. Remove bank details, home addresses and unrelated personal data, and reserve sensitive originals for verified parties and settlement.
